Allegiance Crane & Equipment is a leader in the crane industry and currently seeking an Administrative Assistant to join our team in the Corpus Christi location.  

Position Summary

The Administrative Assistant is responsible for coordinating and processing various administrative functions around the office.  This position reports to the Operations Manager.    

Essential Responsibilities

  • Collect and review all job tickets and service reports.
  • Use FCC (Fleet Cost & Care) system to generate accurate invoices and distribute to customers timely. 
  • Ensure accurate timekeeping in the time & attendance system.  Make necessary edits to ensure accuracy and completeness.  Obtain weekly approval of all electronic timecards. 
  • Process purchase orders according to the Company’s process. 
  • Facilitate the onboarding process of new team members according to the Company’s new hire process. 
  • Assist Service department in ordering parts.
  • Assist customers with account inquiries as needed.
  • Maintain processes to keep files and office supplies organized and easily accessible.

Requirements

  • HS diploma
  • Prior experience generating customer invoices preferred.
  • Demonstrated and effective customer service skills, both internal and external
  • Proficient computer skills – Intermediate Word, Excel, Outlook skills
  • Crane industry background preferred. 
  • Effective communication skills, both orally and in writing, required

Physical Requirements

Regularly required to sit, stand, reach, bend, and move about office.  Some physical effort required.  Must be able to lift up to 10 lb.  Must be able to sit at computer for extended lengths of time.  Must be able to meet attendance requirements of small office.
